At Apleona,We are always on the lookout for dynamic and talented individuals to join our team in Dublin. Currently, we are recruiting for a Billing Administrator to join our team for this key account

 

Shift Pattern Monday to Friday 9:00 - 17:00

 

Key Responsibilities

  • Raise and issue invoices to clients for completed works in line with agreed timeframes
  • Maintain an accurate tracker of all works pending billing to ensure no revenue is missed
  • Liaise with suppliers to obtain outstanding invoices promptly
  • Ensure all billing is completed accurately, applying correct rates, margins, and VAT
  • Cross-check sales quotes against invoices to ensure alignment and highlight any discrepancies
  • Escalate any work with confirmed payment or commercial risk to the Account Manager
  • Support the month-end billing process to ensure deadlines are met
  • Maintain strong attention to detail and ensure all financial records are up to date and auditable
  • Work closely with operations and finance teams to resolve any billing queries

 

Experience & Qualifications

  • Proven experience in Facilities Management within a multi-site or complex environment.
  • Strong knowledge of hard services, building systems, and statutory compliance requirements.
  • Experience managing planned preventative maintenance programmes.
  • Experience coordinating contractors and managing service delivery performance.
  • Strong understanding of health & safety legislation and compliance frameworks.
  • Experience working with BMS and building systems.
  • Excellent organisational, communication, and stakeholder management skills.
